Recruiting Buddy ("we," "us," or "our") operates the RecruitingBuddy.ai platform, which provides AI powered candidate screening services to staffing companies and recruiters. This Privacy Policy explains how we collect, use, and protect information when you use our platform or when your information is submitted as part of a job application screening process.

Recruiter and Account Information

When you create an account, we collect your name, email address, company name, and password (stored in encrypted form). We also collect information about your organization and team members you invite to the platform.

Call and Communication Data

When our platform places automated screening calls, we collect call transcripts, call duration, outcomes, and any information candidates provide during the call. Calls may be recorded for quality assurance and recruiter review. Candidates are informed that they are speaking with an AI screening system.

Usage Data

We automatically collect information about how you use our platform, including pages visited, features used, and actions taken within the dashboard.

How We Use Phone Numbers

Phone numbers collected through our platform are used solely for job screening calls and SMS notifications related to employment opportunities. We do not use phone numbers for marketing purposes unrelated to the active recruitment process.

All calls and messages are initiated by or on behalf of the recruiter or staffing company using our platform. Candidates who receive communications have either applied for a job or provided their contact information as part of the recruitment process.

Opt Out

Candidates may opt out of further SMS communications at any time by replying STOP to any text message. Upon receipt of a STOP message, we will send a confirmation and remove the number from future messaging for that campaign. For questions, reply HELP or contact us at support@recruitingbuddy.ai.

SMS Program Disclosures

Mobile opt-in data and SMS consent are not shared with third parties or affiliates for marketing or promotional purposes.

Recruiting Buddy sends recruiting-related SMS messages on behalf of staffing companies to candidates who have provided their phone number and consented to receive such messages during a job application, ATS registration, recruiter intake, or candidate onboarding process.

Types of SMS Communications

Messages we send include AI screening call notifications, application follow-ups, interview scheduling confirmations, interview reminders, job availability updates, and candidate support communications. All messages are directly related to an active recruiting or hiring process.

Message Frequency

Message frequency varies based on recruitment activity, campaign settings, and the stage of the hiring process. Candidates may receive one or more messages per job application or campaign.

Message and data rates may apply. Recruiting Buddy is not responsible for any charges your mobile carrier imposes for receiving SMS messages.

Opt-Out (STOP)

Candidates may opt out of SMS communications at any time by replying STOP to any message. A confirmation message will be sent and no further messages will be delivered to that number for the relevant campaign. To re-subscribe, reply START.

No Sharing of SMS Consent Data

Mobile opt-in data, phone numbers, and SMS consent information collected through Recruiting Buddy or affiliated staffing company intake flows are used solely for the recruiting-related communications described in this policy. How We Share Information

Data Retention

Candidate records, call transcripts, and screening results are retained for as long as the associated recruiter account remains active. Recruiters may delete candidate records at any time from within the platform. When an account is closed, we delete associated data within 90 days unless retention is required by law.

Data Security

We implement industry standard security measures including encrypted data transmission (HTTPS/TLS), encrypted password storage, and access controls that limit data visibility to authorized team members within an organization. However, no method of transmission over the internet is 100% secure.

Children's Privacy

Our platform is intended for use by businesses and professionals. We do not knowingly collect information from individuals under the age of 18.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify account holders of material changes by email or through a notice on the platform. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
