What Recruiting Buddy Is
Recruiting Buddy is an ATS-integrated recruiting automation platform that sends recruiting-related SMS messages on behalf of staffing companies. Staffing companies use Recruiting Buddy to automate candidate communications — including AI screening call notifications, application follow-ups, interview scheduling and reminders, and job availability updates — on behalf of the staffing company and for candidates who have applied for jobs or registered with those staffing companies.
Recruiting Buddy does not initiate contact with individuals who have not already engaged with a staffing company through a job application, ATS registration, or recruiter intake process.
How Consent Is Collected
Recruiting Buddy does not directly collect candidate phone numbers or SMS consent. All consent is collected by the staffing company — before any Recruiting Buddy message is sent.
Recruiting Buddy is a B2B platform. Staffing companies are the customers — candidates are not. Staffing companies use Recruiting Buddy to automate recruiting communications with candidates who have already provided their phone number and consent through the staffing company's own intake workflows.
There is no candidate-facing signup or opt-in form on RecruitingBuddy.ai because Recruiting Buddy does not collect candidate data directly. The consent relationship exists between the candidate and the staffing company. Recruiting Buddy sends messages on the staffing company's behalf only after consent has been established.
Candidate consent is collected by staffing companies through the following workflows:
- Job application forms — candidates submit their phone number and consent when applying for a position
- ATS (Applicant Tracking System) registration — candidates opt in when creating a candidate profile in the staffing company's applicant tracking system
- Recruiter intake forms — candidates provide phone number and consent during a recruiter-led onboarding or intake session
- Staffing company registration forms — candidates consent when registering with a staffing agency directly
- Candidate onboarding workflows — consent is obtained as part of a structured onboarding process
- Job board application workflows — candidates apply through third-party job boards that include the staffing company's consent language
Recruiting Buddy's Terms of Service require all staffing company clients to collect explicit SMS consent before importing candidate phone numbers into the platform. Only after that consent is established does Recruiting Buddy act as the sending technology on behalf of the staffing company.

Recruiting Buddy sends the following types of recruiting-related SMS messages on behalf of staffing companies:
- AI screening call notifications — alerting candidates that an AI screening call is incoming
- Application follow-ups — confirming receipt of an application and next steps

All messages are sent in connection with an active recruiting or hiring process and are directly related to employment opportunities.
Staffing Company Compliance Requirements
Recruiting Buddy's Terms of Service impose binding compliance obligations on all staffing company clients before any SMS campaign is activated. Staffing companies are contractually required to:
- Display explicit SMS consent language at or before the point of phone number collection on all candidate-facing forms
- Identify both the staffing company and Recruiting Buddy (or its sending technology) as the message senders
- Disclose that message frequency varies and that message and data rates may apply
- Include STOP opt-out and HELP instructions in all consent disclosures
- Not condition employment or application consideration on providing SMS consent
- Honor opt-out requests promptly and ensure opted-out numbers are not re-imported or re-messaged
Staffing companies using the platform represent and warrant compliance with the Telephone Consumer Protection Act (TCPA), applicable FCC regulations, and all applicable state laws governing automated text messaging. Accounts found to be uploading candidates without prior consent are subject to immediate suspension.
Required SMS Disclosure
The following disclosure is required to appear at the point of phone number collection and in all candidate-facing consent flows:
"By providing your mobile number during the application or recruiting process, you agree to receive recurring recruiting-related text messages from the staffing company and/or Recruiting Buddy on behalf of the staffing company. Message frequency varies. Message and data rates may apply. Reply HELP for help. Reply STOP to opt out. Consent is not a condition of employment."

Mobile opt-in data and SMS consent are not shared with third parties or affiliates for marketing or promotional purposes.
Phone numbers and SMS consent data collected through Recruiting Buddy or affiliated staffing company intake flows are used solely for the recruiting-related communications described on this page.
